1. Customer places an order

The delivery process begins when a customer places an order on the Grubhub app. When they place an order, a customer can add special instructions about preparing and delivering the order. You will be able to view these special instructions when the order comes in on your Grubhub for Restaurants app.

2. The restaurant accepts and prepares orders

After an order is placed at your restaurant, you will immediately receive a notification via email or the Grubhub for Restaurants app. You can manage and view orders through your Grubhub tablet or your own device. While your chefs are busy preparing an order, the Grubhub app will automatically find a driver who can deliver the order when it’s ready.

Before you finish putting together an order, make sure you package each item correctly. Use containers that fit the size and temperature of your dishes, and be sure to seal each container tightly. Our drivers are instructed not to open packaging for food safety reasons, so it’s up to you to check the food one final time before it’s ready to go.

3. The driver accepts and picks up the order

Assisted Ordering Overview and FAQ

Over the next few weeks we are introducing a new, assisted way for customers to order from your restaurant. Through assisted ordering, customers will be able to place orders over the phone, backed by white-glove service from Grubhub customer service representatives. 

How does assisted ordering work?

When a customer calls the number on your Grubhub menu page, they will hear a Grubhub voice menu that prompts them to indicate why they are calling. 

 

  • If a customer is calling to reach your restaurant with questions,  we will route them directly to your location. If your restaurant has requested to not be contacted by Grubhub customers, they will not hear this option. Grubhub will never charge you for calls that we route to your restaurant.
  • If a customer is calling to place an order, we will route their call to a Grubhub customer service representative, who will identify they are placing the order on Grubhub on your restaurant’s behalf. This representative will then take the customer’s order, ask for and enter their payment information, and submit the order electronically. Your restaurant will receive this order just like any other online order, without disrupting your current order flow.
  • If a customer is calling with questions about a previously placed order, they will be routed to a member of Grubhub’s Care team.

 

What will assisted ordering do for my restaurant?

Our representatives are trained to make the ordering process quick and easy for your customers. They ensure orders and special instructions are entered accurately, preventing calls to Grubhub’s Care team. This increased efficiency means your staff can spend less time on the phone and focus on making great food.

If your restaurant uses Grubhub Delivery, your customers can now place an order on the phone and have it delivered by Grubhub. Depending on your current staffing, this could free up your own drivers or unlock delivery for your customers who prefer to order by phone.

What does assisted ordering cost?

Your restaurant will be charged your current marketing rate for online orders on the exact total, as well as the standard processing fees for prepaid orders. Delivery orders will be charged your standard delivery rate. There is no additional cost to your customers who use assisted ordering. You will not be charged for customer calls routed to your restaurant from Grubhub through assisted ordering. If your restaurant has requested to not be contacted by Grubhub customers, you will continue to receive no customer phone calls.

Can a restaurant opt-out of assisted ordering?

Assisted ordering gives customers another way to place orders through Grubhub for your restaurant, while still being able to reach you to ask questions or confirm information about your business. Your restaurant will receive these orders just like any other online order and cannot opt-out. You will not be charged for any customer calls routed to your restaurant from Grubhub through assisted ordering.

Will Grubhub’s customer service representatives identify themselves to customers?

Yes, Grubhub’s customer service representatives will clearly state that they are from Grubhub and not your restaurant. The representatives will then ask to take the customer’s order, enter their payment information and submit the order electronically.

Here is an example: 

“Hello. Thank you for contacting [restaurant name] in partnership with Grubhub. This is [Representative Name], from Grubhub. May I have your order?”

What phone number will Grubhub use for assisted ordering?

Grubhub automatically generates a routing phone number for each restaurant partner, which is listed on your menu in the Grubhub Marketplace. If this number has already been assigned to your restaurant, it will not change. If your menu page previously displayed your restaurant’s direct phone number, it will be replaced by your Grubhub routing phone number.

Will I still receive phone orders from Grubhub customers?

Customers who call and indicate that they want to order food from your restaurant will be routed to a Grubhub customer service representative. These orders will appear like any other online order. You will not be charged for any customer calls that are routed to your restaurant from Grubhub through assisted ordering. If your restaurant has requested to not be contacted by Grubhub customers, you will continue to receive no customer phone calls.

What if a customer calls and has a question for my restaurant?

When a customer calls the number on your Grubhub menu page, they will hear a Grubhub voice menu that prompts them to indicate why they are calling. 

  • If a customer is calling to place an order: the call will be routed to a Grubhub customer service representative. 
  • If a customer is calling with questions about a previously placed order: the call will be routed to a member of Grubhub’s Care team. 
  • If a customer is calling to reach your restaurant with questions: the call will be routed to your restaurant (if your restaurant has requested to not be contacted by Grubhub customers, they will not hear this option).

You will not be charged for customer calls routed directly to your restaurant from Grubhub through assisted ordering.

How will these orders arrive to my restaurant?

Orders placed by customers through assisted ordering will appear just like any other online order that customers place through the Grubhub app or Grubhub.com. 

Will I be refunded in the event a customer says the order was placed incorrectly?

Your restaurant will be reimbursed for any food made due to an error by one of our customer service representatives.

how do I manage catering orders on Grubhub for Restaurants?

Once a diner places an order, the order is sent to your restaurant via fax, email or through Grubhub for Restaurants. 

To confirm via email

  • Simply click the Confirmation Link on the order email
  • If you do not confirm the order within a few minutes, we will send an automated reminder call

Fax confirmations

  • Note the 2-digit confirmation code located on the left hand corner of the fax
  • Answer the phone call and enter the confirmation code

Print orders

Prepare the order

  • Use a checklist and be sure to include all utensils, plates and serve ware.
  • Verify all tickets and ensure they’re closed out at the end of each shift

How do I view scheduled catering orders?

Catering orders that are scheduled ahead of time will show up in the Scheduled tab, where you can see all your scheduled orders and key information about each order.

  • Log in at restaurant.grubhub.com
  • Select the Scheduled tab. Catering orders will have an orange border and say “Large Delivery”, like so:

  • Select the order to see the menu items and any special catering details. Customers can change their order up to 4 hours before the order is promised, so we don’t recommend preparing the order until closer to its Promised by time.
  • The order will move from Scheduled to Active approximately 1.5-2 hours before the catering order should be delivered to the customer.
  • Tap Confirm to let Grubhub and the customer know you are preparing the order.
  • The order will move to the bottom of the page after you have confirmed the order.
  • Once you’ve prepared the order, tap Ready for Driver.
  • Check the top right corner of the order to get updates on when your driver will arrive. We recommend having the food ready 30 minutes before the promised time.
  • Once a driver has picked up the order and left the restaurant, the order will move to the Completed tab.
  • You can check on the delivery progress by tapping on the location icon in the top right corner of each order.

What are individually packaged meals for catering?

With hygiene concerns being top of mind for businesses, we’re taking action to ensure that your restaurants can still offer Catering while keeping your customers happy and feeling safe. Whereas before you may have ordered many dishes to be shared among a group, we’re now offering Individually Packaged Meals, meaning you can order the same catering items to be delivered in pre-portioned packaging for your next meeting. 

How do I add individually packaged meals to my Grubhub menu?

If your restaurant offers catering services, consider adding individually packaged meals to your Catering Menu.

Step 1: sign in to your Grubhub for Restaurants account navigate to your menu page from the left-hand menu

Step 2: Select the Catering section you have set up, and the first item you would like to offer as an Individually Packaged Meal option

Step 3: Ensure the item is offered as Catering Only

Step 4: Select the minimum number of servings this item can be divided into for delivery

Step 5: Select that this item is available to be ordered as an Individually Packaged Meal under Labels in the Settings and Labels tab

Step 6:  Save the item

Step 7: Repeat steps 2 through 6 for each item you’d like to offer this way

Step 8: When you’ve fully updated your menu, you can navigate away from the menu page–you’re all set!

What your customer sees & how orders appear for your restaurant

Once you complete the steps above, your customers will see your restaurant when they search for individual packaging options on grubhub.com

Step 2:  Once they select your restaurant to order from, the menu items you have made available for Individual packaging will show a label that a customer can then select if they would like the item individually packaged.

Step 3: Once the customer confirms and places the order, you will see it appear in the Orders tab of your Grubhub for Restaurants account as other Catering orders normally appear. If the order is selected to be “Individually Packaged”, it will appear in the Special Instructions area, so be sure your employees pay close attention to Special Instructions on orders.

What are some best practices for serving individually packaged meals?

Adding Individually Packaged Meals options to your Catering Menu allows for your customers to know their food is safe and touching as few hands as possible. Now that you’ve set up this feature for your restaurant, here are some additional best practices/suggestions:

  • Your restaurant can require a minimum quantity per item type

  • If you’re setting up a “Tray” option for items (such as sandwiches)–you can offer an “assortment” option for a pre-set tray or allow for a customer to select the quantity of each individual item to add variety and allow for flexibility of ingredients

  • You can also set up deli/grocery style items to be packaged individually (such as a quart of hummus to be divided 12 ways)

  • Make sure to place a label on each individual container to indicate what food is inside to ensure your customers know what each package contains, without compromising its safety

Who can place catering orders on Grubhub?

Anyone can place a catering order (consumer or corporate diners). It’s the same process and the same steps, just create a Grubhub account and you’re ready to go!

Who pays for the catering order?

For enterprise clients, you can set up a line of credit (LOC) for your employees to use. You can access the corporate admin tool to set up LOCs. You can pay by credit card, PayPal, Amex Express Checkout as well as apply promo codes or pay with a gift card during checkout. 

When can catering orders be placed?

Catering orders can be placed on the same day, or 7 days in advance on the Grubhub.com desktop website. The restaurants that appear in your search will change depending on how early a restaurant sets its settings to be. The earlier you schedule a catering order, the more restaurant options you’ll have!

What is the difference between a standard menu and a catering menu on Grubhub?

Standard menus are for consumer orders so the food will be packaged individually and in smaller portion sizes. These are meant for individual servings for one person. Catering menus are purposely created for large orders that serve groups of people. Catering foods are usually packaged in trays or platters. Some items on the catering menu may have a minimum quantity and serving size label. 

Can customers pickup catering orders?

Pickup is not available for catering orders but will be available in the future. Only delivery is available for catering orders currently.

Which restaurants will be available for diners to order from?

Only restaurants within the delivery area will be shown.

Do I need to provide utensils and silverware?

Yes, please include utensils, napkins, and other serveware unless otherwise specified in the order’s special order instructions.

How do I receive payments and statements for catering orders?

You will receive a separate statement for your catering orders, and you will receive one payment for both your restaurant and catering orders.

Who delivers catering orders?

Catering orders can be delivered by any self delivery restaurant’s own drivers or Premium Grubhub Drivers. 

How can customers place catering orders on Grubhub?

Customers can order catering by filtering their search results or going to your catering menu from your restaurant page.

What is a contact-free delivery?

Contact-free delivery lets customers request the order be left at their door, in their lobby, or another place at the delivery location when they’re not available or simply prefer less direct contact.

How do customers request contact-free delivery?

Customers can request contact-free delivery by checking a box or toggle on the order confirmation page in the Grubhub app or website. Customers will also have the option to add additional delivery instructions.

How will I know if a customer has requested a contact-free delivery?

Read delivery instructions carefully. A contact free-delivery will be highlighted and will include- the diner’s preferred drop-off location, a contact method, and any additional instructions.

What do I do if I receive a contact-free order?

If you receive delivery instructions asking for a contact-free delivery follow these simple guidelines:

  • Once your driver arrives at the delivery location, they should contact the customer to make sure they’re available to pick up their order.
  • After your driver confirms the customer is available, leave the order at the requested location and return to their vehicle.
  • Contact the customer to let them know their food is where they requested and ready for pick-up.

President Joe Biden has announced that COVID-19 vaccine doses could be available for all adult Americans by the end of May. As the United States continues on a path to recovery, you may be questioning how to plan a safe and successful restaurant reopening strategy.

Apply for the Restaurant Revitalization Fund

On March 11th, President Biden signed into law the 1.9 trillion dollar American Rescue plan, which includes a 28.6 billion dollar Restaurant Revitalization Fund designed to help support the food and drink service industry during this difficult time. The 25 billion dollar round of funding will be divided into government-funded grants with a maximum of 10 million dollars per restaurant group or 5 million dollars per individual restaurant location. The Small Business Administration has announced they plan to begin a ‘phased launch’ of this fund in April.  

This critical support is designed to help restaurants continue to serve their communities despite the catastrophic challenges of COVID-19, and you should investigate whether this new fund can help your business adapt to the new ‘normal’ as you plan your restaurant reopening strategy. 

Know when your employees are eligible for vaccination 

COVID-19 vaccine distribution varies by each state. Some states like Alaska, California, and Hawaii have announced restaurant workers are eligible to receive the vaccination, while other states have not opened vaccine eligibility to the restaurant industry. Since vaccine distribution varies by each state, it is important to stay up-to-date on your employees’ eligibility. The National Restaurant Association has created a Restaurant Industry State Vaccine Tracker to provide up-to-date information about how restaurant workers can get the vaccine in each state, the current distribution phase, and applicable employer responsibilities. 

It is critical to know that we are still not out of the woods despite vaccination distribution ramping up. According to CDC data, more than 147 million COVID-19 vaccine doses have been administered in the US, but the agency’s director is concerned about surging cases. Continue to educate yourself on vaccine distribution in your community to ensure your restaurant reopening timeline aligns with your state’s vaccination distribution to help protect your employees and customers.

Protect your Staff & Employees with the latest CDC Guidelines for COVID-19

To help reduce coronavirus spread, the CDC has updated its Considerations for Restaurant and bar operations. Within these recommendations, the CDC is suggesting the following strategies be implemented:

  • Educate employees about when they should stay home and when they can return to work.

  • Consider requiring the use of masks among all staff and provide information on proper use, removal, and washing of masks.

  • Require frequent employee hand-washing with soap and water for at least 20 seconds. 

  • Provide adequate supplies to support healthy hygiene, such as soap, hand sanitizer containing at least 60% alcohol, paper towels, tissues, disinfectant wipes, masks, and no-touch/foot pedal trash cans.

  • Post signs that promote protective measures in highly visible locations for both employees and customers.

  • Maintain a healthy environment in your restaurant through cleaning and disinfecting practices, ensuring that your ventilation systems operate correctly, and modifying your dining layout to promote social distancing.

In addition to these guidelines, the CDC recommends restaurants and bars install physical barriers, such as sneeze guards and partitions, and provide physical guides, such as tape on floors and signage, to ensure individuals remain at least six feet apart.
